Administrative Professional | Brokerage
Position Location: Dallas | In-Office
Reports to: Director of Administrative Support

They partner closely with a team of retail real estate brokers in a dynamic, hands-on environment where the work is fast-paced, challenging, and often exciting and rewarding. They are resourceful, adaptable, and organized, with the ability to work independently and collaboratively while managing multiple priorities with accuracy, professionalism, and strong follow-through.
Position Summary:
- Provide general clerical and administrative support to a team of brokers.
- Prepare client presentations, requiring a keen eye for proper formatting and brand consistency.
- Work collaboratively with other departments, including Marketing, Research, and Accounting.
- Manage the calendars of senior brokers, including scheduling tours, meetings, conference calls, airfare, hotel arrangements, and other travel needs.
- Interact with and serve as a liaison between your team of brokers and the various departments and offices.
- Work with the Research and Marketing Departments to create property marketing brochures, e-blasts, social media posts, signage, maps, aerials, and other materials.
- Pull and prepare demographic reports, Placer.ai reports, void analyses, CoStar reports and lease/sale comps.
- Prepare and send correspondence, including emails, calendar invitations, memos, packages, and letters, on behalf of brokers to clients and associates.
- Prepare documents including Offering Memorandums, LOIs, proposals, and agreements (commission, lease, purchase, and listing).
- Prepare lease and sale data reports in Salesforce to support commission processing and maintain listing and deal tracking reports in Excel, Smartsheet, and Google Sheets.
- Prepare broker expense reports on a regular basis.
- Perform general office duties, including scanning, copying, filing, mail distribution, and basic troubleshooting of office and brokerage equipment (copiers, smartphones, and computers).
- Perform other administrative duties as assigned based on the current workload of the department.

Education | Experience | Skills:
- Bachelor’s degree preferred, but not required.
- Experience in commercial real estate strongly preferred.
- Advanced proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint, required.
- Proficiency in Adobe Acrobat, Salesforce, Placer.ai, CoStar, Docusign, Google Earth, Google Maps, and internet search tools, preferred, but not required.
- Experience with Canva and Adobe InDesign is a plus.
- Familiarity with and a desire to incorporate leading-edge AI tools and emerging workplace technologies to improve efficiency and workflows is strongly preferred.
- Basic IT knowledge required.
- Ability to research statistics and identify real estate ownership entities with persistence, resourcefulness, and creativity.
- Strong understanding of basic math principles, including the ability to accurately calculate commissions, percentages, splits, prorations, and payment adjustments.
